TACOMA ARTS MONTH EVENT AND MARKETING CONTRACTOR

Department: City of Tacoma, Office of Arts & Cultural Vitality
Position Type: Part-time to Full-time, temporary, contractor
Dates: April - November, 2018
Hours: variable Monday - Friday; from 20 hours/week to 40 hours/week
Most time-intensive dates will be August, September, and October, at which time contractor must be available 40 hours/week. A limited amount of weekend and evening work will be necessary.

Summary of Position:
The City of Tacoma's Office of Arts & Cultural Vitality is seeking a temporary contractor to manage and produce all aspects of the 17th annual Tacoma Arts Month. Tacoma Arts Month is Tacoma's annual city-wide celebration of arts and culture, which takes place each October. The month highlights hundreds of community-produced arts and culture events, exhibits, and workshops. It is also marked by two City-produced signature events - an opening party and the Tacoma Studio Tour.

This position is a combination of event organization/production and marketing/promotion. Duties will including intake, research, and promotion of community arts and culture programming; production of an opening party; management of the AMOCAT Arts Awards; coordination of all aspects of the Tacoma Studio Tour; managing volunteers; and production of a multi-platform marketing campaign for this community-wide event.

Contractor must have the ability to work on- and off-site and have a computer to carry out duties of position. Contractor is expected to work 20 - 40 hours/week, depending on the current work load. In-office work schedule is flexible within the office hours of Monday - Friday, 8 am - 5 pm.

Responsibilities:

  •     Organize calls to artists and calls to community
    
  •     Disseminate communications via email, online, social media, print, and phone
    
  •     Conduct outreach to diverse community stakeholders to inform about opportunities and gather community programming
    
  •     Conduct research to identify additional community programming
    
  •     Organize submissions, format data, and input into databases
    
  •     Prepare application materials and facilitate the review and selection process for the Tacoma Studio Tour
    
  •     Schedule and run subcommittee meetings
    
  •     Set event dates, reserve locations, and conduct outreach to potential event partners
    
  •     Coordinate opening party event and arts programming, with the assistance of an event planner
    
  •     Help manage artwork and programming set up and tear down for opening party event
    
  •     Coordinate volunteers for material distribution and event staffing
    
  •     Secure media and event sponsorships
    
  •     Develop and implement a social media and marketing plan, with some support from the City's Media & Communication Office and other partners
    
  •     Coordinate with the Arts & Culture Coalition of Pierce County and the Market the Arts Task Force to promote event
    
  •     Support marketing needs including drafting press releases and dissemination of information and opportunities to the public via multiple platforms
    
  •     Distribute promotional materials around Tacoma
    
  •     Respond to inquiries from public and media
    
  •     Write, edit, and post articles to TacomaArts blog and e-newsletters
    
  •     Post updates and create events on Tacoma Arts Commission Facebook page
    
  •     Develop content for, guide graphic design work of, and edit all promotional materials including print, digital, and video pieces
    
  •     Coordinate printing needs with outside vendor
    
  •     Track social media engagement
    
  •     Conduct direct outreach to media
    
  •     Update website and work with colleagues to improve website functionality
    
  •     Conduct final event wrap up including surveys, final budget, selection of promotion winners, and update mailing lists
    
  •     Provide general social media and marketing support for the Office of Arts & Cultural Vitality
    
  •     Other duties as related to the event and in support of the Office of Arts & Cultural Vitality
    

Experience and Qualifications:

  •     Experience in organizing a large-scale event or program
    
  •     Experience in marketing and promotion of programming in multimedia formats including print, web, and social media
    
  •     Has strong organizational skills and pays close attention to detail
    
  •     Ability to communicate clearly, concisely, and professionally in person and in writing
    
  •     Proficiency using multiple platforms to market programming
    
  •     Has a background and knowledge of the Tacoma community
    
  •     Capable of working in a fast-paced environment
    
  •     Ability to manage time effectively
    
  •     Ability to work independently
    
  •     Has strong computer skills including proficiency with Microsoft Word, Excel, and Outlook
    
  •     If selected, must have or being willing to acquire a Tacoma Business License

About the Office of Arts & Cultural Vitality:
Tacoma's Office of Arts & Cultural Vitality supports the ecosystem of the arts in Tacoma through funding, public art, community programming, technical assistance, stewardship, and advocacy.

Programs include:

  •     Funding - We manage 3 funding programs to support large arts organizations, grassroots arts programming, and individual artists
    
  •     Public Art - We manage City's Municipal Art Collection of around 500 pieces of artwork as well as the City's 1% for public art program, which dedicates 1% of construction costs of capital projects to the creation of public art. We also manage public art projects for local and regional partners such as Metro Parks Tacoma and Sound Transit
    
  •     Community Programming - We manage multiple programs including Tacoma Arts Month, Tacoma Murals Project, Tacoma Poet Laureate, and artTown TV show. We also partner with Spaceworks Tacoma.
    

The Office is housed within the City of Tacoma's Community & Economic Development Department. It is supported by 3.5 staff members and the Tacoma Arts Commission, a 15-member volunteer commission made up of Tacoma residents who are arts advocates and artists.
