We've Been Bumped - Here Are Our Options

Hi everyone –

On Friday we were informed that NCL has been bumped from the room in the Rayburn Building for our awards event. We’ve never had this happen before, but House members can bump you from a reservation if they need the room. And this time they did.

Here’s where we are on potential plan Bs:

  1. We can move the event to Tuesday, September 27th from 5:30pm-7:30pm in B369 Rayburn HOB. And then, I guess, move our board meeting and members meeting up one day. (Ellen also has a message in to Erica DiCio in Rep. Yarmuth's office to see if any rooms in the CVC may be available on the 27th as well. She thought asking another Hill office beside Roe might be helpful. Have not heard back from Erica.) Cannot move it in the other direction: Roe’s office (Kyle Jackson) says there are NO rooms anywhere on the Hill on Sept. 29th either.

  2. We can move the whole thing up a week (the week prior to AEFL Week) and see if rooms are avaiable then. Originally I know Ellen said that was a better week.

Obviously any of the above options won’t work if  people have made travel plans already. We’ve announced the date but not widely, so not sure who has made plans yet. I can ask around among our out-of-town members.

  1. Kyle said there might be a room on the 28th at 8pm. That seems really late to me.

(FYI I think I mentioned already but just in case: the Senate Rules Committee says we can’t have any room in the Senate because they don’t allow award events to take place in Senate rooms. Even though we have held the awards in Senate space in 2011 and 2012 they are now saying no.)

  1. Hotels on Hill
    · Washington Court – has space available. “Room is available that would require a $3500 food/beverage minimum, excluding service charges and tax."
    · Liaison Hotel – "We can offer this space for a $4,000 food and beverage minimum with a $400 space rental fee. Please note this does not include service charge, tax, or bartender fee.”

Remember our food budget was $4000, so the options above are in the ballpark. But once you include tax and other fees, they will be more expensive than what we had planned.

  1. Library of Congress - I wrote Anne Boni at the Center on the Book to see if they could be helpful in any way. She wrote back this afternoon saying she will look into it but it will be a few days before she can give us an answer.

Let me know ASAP with any preferences/thoughts — particularly about moving the date. When I mentioned that possibility to Heather and Deborah on Friday, they felt pretty strongly about NOT moving the date.

Bummer! I too would try to avoid moving the date if at all possible. I
agree 8 pm start is late. If the Library of Congress doesn't pan out I'd go
with a hotel. My two cents.

Thanks, Jeff, for this update. We’ve had our share of challenges with this event! I agree with Silja, Deborah, and Heather that we should keep the event on the 28th. I agree also that an 8pm start seems too late. Fingers crossed that the Library of Congress comes through.

My two cents: I’m actually warming up to the idea of the hotel if the LOC doesn’t come through. The cost is not that much more, and to be honest the space likely nicer that what we had at the Rayburn building.

Remember our food budget was $4000, so the options above are in the ballpark. But once you include tax and other fees, they will be more expensive than what we had planned.

Since I haven’t attended an awards event yet, I’m hesitant to offer any opinions. However, the suggestion of trying the Library of Congress, then a hotel sounds very reasonable.
On that note, I’ll be making my travel arrangements this week, so if anyone has any recommendations for hotels in the area, please email me.

Bummer! I too would try to avoid moving the date if at all possible. I agree 8 pm start is late. If the Library of Congress doesn't pan out I'd go with a hotel. My two cents.

Thanks for the feedback everyone.

I went and looked at the Washington Court Hotel space this morning. It’s a windowless room — for those of you who were at the Bush Foundation event in June, it’s one of the breakout rooms we used. We MIGHT be able to get the atrium for the same price — it’s on hold right now for another party but if they cancel we can have it.

Ellen Fern wrote me this morning that she is trying a “hail mary” with another office on the Hill.

My greatest concerns with the hotels is that we will have an even harder time getting House/Senate folks to come over; and in light of the COABE event earlier in the day, it dilutes our presence on the Hill during a critical time. So I’ll keep fingers crossed for Ellen’s “hail mary” and the LOC — but good to know a hotel is an acceptable option.

BTW, I made a unilateral decision to hold on the announcement of winners until we have the space issue locked down. Let me know if you have any concerns about that. Hopefully we can get this resolved by tomorrow.
