I have found the best way to keep track of this is using a single
spreadsheet with multiple worksheets on my computer. I use the one
included in the  free Libreoffice suite.

For maintenance I have worksheets for periodic tasks, todos/repairs, and
a maint log. They basically have the same column structure for things
like location, item and details. When I complete a task from the
periodic or todo list, I move/copy the line to the maint log worksheet
and add a date and some comments on what I did if it was not a standard
task or who I hired to take care of it.

I also added worksheets to keep a checklist of other boat related
activities and misc information:

  • cruise pre-departure tasks

  • storm preparation tasks

  • leaving the boat for an extended period checklist

  • Things I need to buy for the boat or for an upcoming project

  • spares list and location

  • Summary page of essential boat details: CG doc, hull id, key
    dimensions, engine model,...

  • Notes on part numbers, dimensions, logons, .....

-  Cruising notes for the day which includes items like:  key nav
markers, landmarks, shoal warnings, bridge schedules and any other
things to be aware of for that days cruising.

  • cruising log which documents the days events.

Some of these can change daily and others have not changed in the 11
years I have owned my boat.

I like that I can control the level of detail and that it is easy to add
items as you find them in articles and other peoples checklists. It is
all in one spreadsheet, so it is fairly easy to work with and I only
need to keep track of just one file (+ backups).

Can any listee suggest a printable boat maintenance form that can be used
as a reminder of what to do and what has already been done.

I have seen a very elaborate notebook version but I want something smaller
and simpler.

When I read the post that Rudy is replying to today, I thought “Wow, when will that boat ever depart?” Or something to that effect.

I too REALLY try to get LeeZe in such a shape that the work gets done in non-cruising monhs and nothing breaks (ha ha!) while cruising.

But the reality is that stuff does break while cruising. I have learned the hard way to go with the flow, try to have the spares on board to fix, and when not, get as creative as possible.

If you look at my ER, there is dates listed on stuff everywhere. Visually, I can scan the dates and see if I need to do something.

I do keep a list of maintenance performed, but with the exception of watering the house bank, and cleaning the head’s sump tank which are firmly scheduled, every other scheduled item is really just a reminder to go look over this or that to see what needs to be done.

I choose to do one scheduled maintenance task a day during the non- cruising season and that seems to work for me.

I know that one can go ABSOLUTELY nutty trying to stay ahead of all issues. Those people tend to never leave the dock.

Just my opinion, not worth the paper it is printed on, and of course YMMV.

I like the idea of multiple worksheets for checklists and inventory -- I need to add that to my list.  Mine is a single tab in an Excel workbook, evolved from one that came from someone else on this site.

It's divided into sections (engine, gen, safety, etc.).

At the top I input the current date, the hours on the engine and generator and the date of that reading.

Each row has an entry for columns for:  Item (ex. alternator belt), Action ( what needs to be done), Group (location), Interval (#hours and/or #days), LastPerformed (date, hours), NextTime (hours) and/or NextDate (mo/yr), and Notes.  The next service time or date is calculated from the last Interval and the last action, current hours or current date.  The formulas are pretty simple and use the IF function.

I added conditional formatting on the NextTime, NextCal columns show future maintenance times (hours, calendar date): green for not past due, and past due red font highlighted yellow .

An example of a row...
Item: alternator belt
Action: adjust tension
Group: engine
Interval: (every) 500 hours, 2 years
LastPerformed: 1/22/18, 1263 hrs
NextTime: 1763 hours
NextDate: Jan/2020
Notes: spare belt under stairs

I print a copy to take to the boat when I do maintenance.  Looking at it now, I see a lot of red, particularly in the non-engine items!

I'd share with anyone who wants a copy and sends me an e-mail.
